New team members invited to your workspace, with the right role assigned from the start.

A new user invited and assigned an appropriate role.

  • Owner or Super Admin role (Admin and Recruiter cannot invite)
  • The new user’s first name, last name, and email
  1. Click the Settings gear at the bottom left.
  2. Open the Users tab.
  3. Click Invite user.
  4. Fill in first name, last name, and email. Click Next.
  5. Assign the role:
    • Super Admin. High-level access just below the Owner. Configures every feature. Can’t manage other Super Admins.
    • Admin. Manages recruiting workflows and oversees Recruiters. No billing, company details, or role assignment.
    • Recruiter. Sources and reaches out: search, projects, campaigns, ATS push. No company settings, user management, or billing.
  6. Click Next (or Send invite). The user gets an email with a sign-up link.

The user appears in the Users list as Pending. Once they sign up, status becomes Active and they can access the workspace per their role.

  • Invite email not received. Check spam. Resend from the Users list (three-dot menu).
  • Invite link expired. Resend for a new link.
  • “User already exists.” The email belongs to another workspace. Contact Wiggli support, or use a different email.
  • Wrong role assigned. Edit it from the Users list; applies at next sign-in.
  • User limit reached. Buy an extra seat: Hunter 1-5, Strategist up to 15, Oracle 15+. Upgrade or remove an inactive user.
  • Default new members to Recruiter unless they need Admin. Wider access means more chances of accidental config changes.
  • Tell people which role you’re assigning. “Admin” vs “Recruiter” means something specific here.
  • Review the Users list quarterly and remove inactive seats.
