Build a multi-step outreach campaign

A campaign sequence with multiple steps across email, LinkedIn, and/or WhatsApp, ready to add candidates to and toggle on.

A multi-step, multi-channel sequence built and saved, ready for recipients.

  • An outreach-capable plan: Hunter for email, Strategist or Oracle for LinkedIn and WhatsApp
  • A connected sender account for each channel you’ll use
  1. Go to Campaigns and click Create campaign.
  2. Name it clearly (role + month + recruiter).
  3. Add the first step:
    • Choose the action: Email, LinkedIn message, LinkedIn connection request, LinkedIn InMail, LinkedIn profile visit, LinkedIn check connection, LinkedIn check reply, WhatsApp message, Voice message (record yourself or let an AI voice read your message, attached to a LinkedIn or WhatsApp message), or an A/B test step that routes recipients over two message variants so you see which performs. InMail steps need your own LinkedIn premium product; InMail credits come from LinkedIn, not from Wiggli credits.
    • Pick the sender account. If you’ve connected more than one email, LinkedIn, or WhatsApp account to the workspace, each step has a dropdown to select which one sends. Defaults to the first connected account for that channel. Choosing the right sender per step is how Recruiter-licensed LinkedIn accounts get shared across the team and how email volume gets distributed across multiple inboxes.
    • Write the content, or click AI to draft a starting version
    • Add variables: {first_name}, {company}, {job_title}, and others
  4. Set the delay before the next step (immediate, hours, days). Delays are relative to the previous step and add up: step 2 one day after step 1, step 3 two days after step 2, means step 3 lands three days in.
  5. Add further steps, combining channels freely (e.g. email, wait 3 days, LinkedIn message, wait 4 days, email). Three to six steps is standard.
  6. Use LinkedIn condition checks to branch the sequence. Check connection splits the flow into a connected path (send a direct message) and a not connected path (send a connection request first). Check reply lets you stop or redirect a path based on whether the candidate has answered. The builder can look like it splits into parallel lanes, but a campaign runs as one ordered path: it follows the arrows, and condition checks route each recipient down a branch. They do not run two channels at once. To run two channels truly in parallel (for example an email and a LinkedIn connection request from day one), run two separate campaigns on the same profiles. The trade-off: a reply in one campaign doesn’t stop the other, so use Mark as replied on the sibling campaign when someone answers. Splitting also keeps a fast channel fast: a connection-request step sends to every enrolled profile and the campaign waits for that whole step to complete before moving on, so LinkedIn’s strict invite caps throttle everything queued behind it. Requests to people you’re already connected with simply fail without harm, and those profiles succeed at the message step instead.
  7. Set the sending schedule at the campaign level. Toggle Sending schedule on and define the days and hours when messages may go out (for example, weekdays 09:00 to 18:00). This applies to every step in the campaign, so no message goes out at 02:00 on a Sunday.
  8. Click Save. The campaign is OFF by default.

The campaign shows as Draft or Off. Each step shows channel, content, and delay. The preview replaces variables when you pick a test recipient.

  • Can’t add a LinkedIn or WhatsApp step. Confirm the channel is connected and your plan includes it.
  • Variables show as raw text. Use the variable picker rather than typing them by hand.
  • Save disabled. A required field is missing (content, channel, or delay).
  • Campaign won’t turn on. No recipients yet, or no sender connected.
  • Active counts drop sharply between steps. Steps run in order. A recipient who lacks the data a step needs (no email, no LinkedIn URL, no phone) waits there and does not skip to a later channel. Reveal or complete contact data before launching, and lead with the channel most of your list is reachable on. See My campaign is stuck or not sending.
  • Start small: 3 steps, one channel. Add channels once you have baseline metrics.
  • Build one campaign per role family, not per vacancy. A proven sequence pattern: email, follow-up email after 2-3 business days, then LinkedIn (visit, check connection, request or message), with WhatsApp as the last touch. WhatsApp reads as intrusive as a cold opener in most European markets.
  • Reuse by duplicating: a duplicated campaign keeps its steps and content, which works as your template library.
  • Keep attachments out of your head: campaign emails deliberately don’t carry them, because attachments are what spam filters flag first. Link to documents instead.
  • Cold outreach delays of 2-4 days between steps work well.
  • Subject lines move open rates more than body copy.
  • A/B test one variable at a time.
  • Personalize at least one line per message. Generic templates underperform sharply.
